Terms and Conditions
Version: 28 September 2026. Pharma Travel Checks (PTC) offers a free medicine preview and paid reports and document packs. Registration is open. Payment is collected securely through Stripe before paid documents are supplied. Reports and drafts are advisory and do not provide clearance for travel.
1. Who we are
PTC is operated by M Martin trading as PTC, Circular House, Manchester, M25 9WF, United Kingdom. For service questions, complaints or cancellation, email [email protected]. Do not email prescriptions, passport copies or other sensitive documents.
2. What our service provides
PTC provides administrative travel information about carrying medicines on the route you enter. We are an independent advisory service, not a healthcare provider, government authority, embassy, airline or insurer. We do not diagnose, prescribe, decide whether treatment is appropriate or advise you to stop or change treatment.
The Basic Report provides medicine and journey findings, including identified restrictions, documentation requirements and unresolved questions. The Full Pack adds relevant draft correspondence, checklists and country-specific submission instructions. The description and price shown before purchase define what is included. Material gaps in our coverage must be disclosed before payment; purchasing a pack does not resolve an uncertainty or secure approval.
Our scope is medicine-related travel requirements for the stated destinations and transit points. It is not a comprehensive customs, immigration, vaccination or general travel assessment. We may flag a specific known prohibition, such as a destination’s vape restriction, without providing a complete review of non-medicine items.
3. Information you provide and confirm
You complete and check your own information. Include all medicines you intend to carry, their exact names, active ingredients where known, strengths, forms, prescribed directions and total quantities, together with accurate travel dates, destinations, transit stops and any planned entry through immigration. Do not guess: mark unclear information for confirmation.
Photograph scanning and catalogue suggestions are aids to data entry. They may omit, misread or incorrectly match an item. Compare every medicine and all extracted details with your current prescription or dispensing label, correct errors and check that no items are missing before confirming. A catalogue match is not permission to import a medicine.
You are responsible for obtaining genuine, current prescriptions and medical reports from a licensed healthcare provider, checking that the documents and supply cover the journey, and reviewing all draft letters before using them. PTC does not authenticate your documents or certify medical necessity. If you enter information for someone else, you must have their authority.
4. Applications and decisions
A PTC report, draft letter or payment is not an import permit, medical certificate or approval to travel. Only the relevant authority can approve an application or decide admission. Airlines decide their own carriage requirements. A prescription does not automatically make a controlled or prohibited substance admissible.
Unless a particular service expressly states otherwise before purchase, you submit applications and correspondence yourself using the email or portal instructions supplied. Where an item is prohibited or the position is unresolved, a request may clarify whether an exception exists; it does not create one. Do not treat a pending request, silence or an unresolved finding as approval.
You must obtain any required permission before carrying the affected medicine, meet its conditions and carry the required documents and packaging. Government, clinician, translation, courier and airline charges are separate unless expressly included. We cannot promise a response time or a favourable decision.
5. Dates, transit and changes
Our checks are based on the published information of the countries and authorities relevant to your stated journey, together with any official clarification identified in your report. We undertake to use reasonable care and skill to keep our checks as up to date as reasonably possible, reviewing the sources we rely on and updating our guidance when we become aware of relevant changes.
Countries may change their laws, regulations, internal rules, procedures or interpretation outside our control. Changes may take effect before public guidance is updated. We cannot guarantee that an authority has not introduced a change which is not yet reflected in its published information or in our report. Findings relate to the information, route and source dates recorded in the report; they are not a guarantee of permission or admission. This limitation does not remove our responsibility to use reasonable care and skill.
For help obtaining written confirmation or any necessary permission, we recommend the Full Pack. It provides relevant draft requests and country-specific instructions for approaching the responsible authority, or an embassy or consulate where that is the appropriate contact. Ask for confirmation that your declared medicines and quantities may be carried on your stated route, including transit, and obtain formal permission where required. An embassy may refer you to a health, medicines or customs authority; not every country requires or offers advance approval.
You may apply or make enquiries yourself without purchasing the Full Pack. Purchasing it does not submit an application, guarantee a reply or grant permission. There is no ongoing monitoring or automatic update of a delivered report unless expressly included in your purchase.
If your medicines, quantity, dates or route change, the existing report may no longer apply; contact PTC for an updated review before relying on it. An unexpected diversion or unplanned landside entry may bring different rules into play. Inform airline staff and the relevant officials about your medicines and seek their instructions. We cannot pre-authorise emergency diversions or cover every possible event.
6. Prices, cancellation and problems with the service
The total price, currency, deliverables and any delivery conditions will be shown before a paid order is placed. Current development checkout takes no real payment.
Immediate digital delivery and cancellation. Where you expressly consent to supply of your digital report or documents beginning within the 14-day cancellation period, acknowledge that this will end your right to cancel, and receive the required contract confirmation, your change-of-mind cancellation right ends when supply begins. You cannot then obtain a refund simply because you change your mind, including after downloading or printing the documents.
We must obtain that express consent and acknowledgement separately before supply begins and include confirmation in a form you can retain, such as email. Accepting these terms alone does not provide that consent. Without the required consent, acknowledgement and confirmation, we will not rely on this digital-content cancellation exception.
Any service element. If you expressly request that an advisory or preparation service starts within the cancellation period, you may cancel before it is fully performed, but a lawful proportionate charge for work already provided may apply. The cancellation right ends upon full performance only where the required express request and acknowledgement of that consequence have been obtained.
Where a cancellation right remains. You normally have 14 days after the contract is made to exercise it. Contact us using the details above with your name, order reference and a clear statement that you wish to cancel. You may use: “I give notice that I cancel my order for [service], ordered on [date], order reference [reference]. My name and address are [details].” Any refund due will be made within the applicable legal time limit.
Your statutory rights remain. These cancellation provisions do not remove your rights if digital content is faulty or not as described, or if our service is not provided with reasonable care and skill. Applicable remedies may include correction, repeat performance, a price reduction or a refund. Contact us so we can investigate and put matters right.
7. Our responsibility and its limits
We are responsible for loss or damage that is a foreseeable result of our breach of these terms or failure to use reasonable care and skill. We are not responsible for loss that is not foreseeable, or for business losses arising from use of this personal consumer service.
We are not responsible for loss caused solely by inaccurate or incomplete information you supply, your failure to follow a clearly explained requirement, or an independent authority or airline decision that we did not cause through a breach of our obligations. These limits do not excuse an error in our own work or remove responsibility for any contribution we make to a loss.
We do not exclude or restrict liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability or consumer right that cannot lawfully be excluded or restricted. We do not guarantee admission, approval or an uninterrupted journey.
8. Privacy, documents and disputes
Our privacy notice explains how information is handled. Health-data consent is requested separately; agreeing to these terms does not replace it. Keep account access and downloaded documents secure.
You may use and share your purchased documents for your own journey, including with your clinician, airline and relevant authorities. Do not present PTC drafts as documents issued or approved by those organisations.
These terms are governed by the law of England and Wales, without removing mandatory consumer protections that apply where you live. You retain any right to bring proceedings in your local courts. Changes to these terms apply to future orders; they do not retrospectively reduce rights under an existing purchase.
Agency voucher packs
Agency packs are one-time purchases: ten Report vouchers for £60 or ten Full Pack vouchers for £250, in GBP. Eligible agency websites receive five complimentary Full Pack credits once. Registration requires a verified email matching the agency website domain; contact support if you use another email provider.
Credits and vouchers expire 365 days after allocation or purchase. Issuing a voucher deducts one credit; resending does not. Each voucher covers one traveller and itinerary and is tied to the recipient email provided by the agency. A successful original-PDF upload or confirmed code redemption consumes it into that recipient account; simply opening a link does not. The client can resume and complete the journey before expiry. Once generated, that journey is fixed and its downloads remain available for seven days.
Agencies must have the client’s permission to share their name and email for voucher delivery. Agencies set and manage their own client charges. Email acceptance does not guarantee inbox delivery. Contact [email protected] about errors, unused credits or refunds. Existing statutory rights are unaffected. These products remain advisory; the service limitations elsewhere in these terms continue to apply.
